Step 2 - Preparing for the LRS
Having Signed up as a Learner Registration Body (LRB), you will need to prepare your organisation in a number of ways:
Preparing learners
- Plan how your organisation will inform learners of their ULN.
- You will need to make learners aware of the way their data can be used by ensuring they have read, or have access to a Fair Processing Notice (FPN). MIAP has provided an example of an FPN that you may chose to incorporate into your enrolment processes.
Preparing Staff
It is important that Teachers and student support staff are advised how the service will work so they can answer questions and communicate effectively. Two documents are available to help you:

It is recommended, but not mandated, that the identity of learners is verified as part of the MIAP process and you may wish to put procedures in place to facilitate this.
Consider how you will use the LRS
The LRS can be used in a number of ways. The best for you will depend upon the way your current MIS processes and functionality work, and the number of learners you will be registering and updating. The options are:
- Develop your own MIS system to include "Web Services" so that the LRS and ULN information is automatically updated.
- Prepare batch files containing multiple learner details and submit them manually using the LRS portal.
- Register individual learners manually using the LRS portal.
What Data do you collect?
Look at the individual data collected by your organisation during the enrolment of learners. Consider if it is the 'right' information, or whether other data would be more suitable for use in the LRS.
Exceptions
Exceptions can be generated when submitting information to the LRS for a number of reasons. Plan how your organisation with deal with them.
Updates and corrections
Identify the systems and processes that you will need to deal with issues arising from adoption of the ULN, including learners wanting to update or challenge the information held about them.
