Information for Schools

The use of the Unique Learner Number (ULN) in schools is rapidly increasing with the 14-19 Diploma being the main requirement but also Functional Skills and routine examination entry are requesting the use of the ULN.

MIAP has three ways of retrieving ULNs via the Learner Registration Service:

The Learner Registration Service Web Portal: this is used for obtaining individual ULNs. If you have a group of up to 20 ULNs to obtain, this is probably the quickest way to get them. The Web Portal is also used to edit the details of a ULN such as the preferred name or change of post code.

The Learner Registration Service Batch Process: this is used for obtaining groups of ULNs in batches between 20 and 5000. The batch files must conform to the MIAP LRS Registration Batch Interface Guide. This is an overnight process which may produce exceptions where the system queries the information provided.

The Learner Registration Service Web Services: this is where the management information software is linked into the Learner Registration Service and provides the interaction to retrieve ULNs where they exist or obtain a new ULN. The MI software assists in the resolution of the exceptions. This is the preferred method but does rely on the software supplier providing the interface with the LRS.

MIAP in conjunction with QCDA provides support for schools in the form of workshops. MIAP also provides the following documents:

1. Registering with MIAP to use the Learner Registration Service to obtain ULNs
2. Logging on for the first time
3. Setting up additional super users
4. New Super User Form
5. How to obtain individual Unique Learner Numbers or edit the data
6. MIAP Support
7. Fair Processing / Privacy Notice
